Write 2 Heal is built around listening, dignity, and personal choice. This policy explains what we collect, how we use it, and the choices you have.

Your privacy matters
Write 2 Heal is built around listening, dignity, and personal choice. We understand that some visitors may be navigating trauma, emotional distress, mental health challenges, grief, or substance-use recovery. Information connected to those experiences can be deeply personal.
This Privacy Policy explains:
- what information Write 2 Heal collects;
- how and why we use it;
- when, how, and with whom it may be disclosed;
- the choices and privacy rights available to you; and
- the safeguards used to protect it.
In this policy, "Write 2 Heal," "we," "us," and "our" refer to Write 2 Heal, operated by founder Roslyn Thompson. "Website" means thewrite2heal.com and the pages, surveys, forms, services, community features, and online offerings linked to it.
1. Scope
This policy applies when you:
- visit or interact with the Website;
- complete or begin the Write 2 Heal market-research survey;
- join an email or merchandise interest list;
- submit a contact or service-inquiry form;
- register for an event or purchase a product or service through the Website;
- create or use a future Write 2 Heal community account; or
- otherwise communicate with Write 2 Heal.
This policy does not control a third party's website, app, payment page, event platform, or social-media service, even if we link to it. Those services have their own privacy practices.
2. Information we collect
We collect information in three ways: information you choose to provide, information collected automatically when you use the Website, and information received from service providers involved in a transaction or event.
A. Information you choose to provide
Depending on how you use the Website, this may include:
- Survey responses: answers about support needs, healing interests, writing preferences, community features, safety concerns, communication preferences, age range, general location range, and optional written comments.
- Contact and service-inquiry information: name, email address, optional phone number, preferred contact method, service of interest, group or organization details, preferred dates, and the message you submit.
- Interest-list information: email address, optional first name, areas of interest, and your consent to receive updates.
- Merchandise-interest information: products that interest you and, if you choose, your email address.
- Event, order, or service information: registration details, items or services selected, billing and shipping information, attendance details, and transaction records. Payment-card details are processed by the applicable payment provider and are not intended to be stored by Write 2 Heal.
- Future account or community information: username or nickname, profile details, posts, comments, journal or privacy settings, reports to moderators, and communications you choose to submit.
- Direct communications: emails, form messages, customer-support requests, privacy requests, and other communications you send to us.
Please do not submit medical records, diagnoses, medication details, Social Security numbers, insurance information, detailed trauma histories, or other information that is not necessary for the service or form you are using.
B. Sensitive information
Some survey choices or community content may reveal or suggest information about mental health, emotional well-being, trauma, grief, or substance-use recovery. We treat that information as sensitive.
Participation in the survey is voluntary. Except for confirming that you are at least 18 and voluntarily consent to participate, you may skip survey questions or leave the survey at any time. The survey does not ask for your name or email address. If you join an email list after submitting the survey, your email information is stored separately and is not intentionally linked to your survey answers.
The survey assigns a random response or session identifier so the system can save a response. This means the survey is designed not to directly identify you, but we do not promise absolute anonymity. Website and security providers may process technical information, including IP address or device information, in operational logs.
We do not use sensitive survey answers for targeted advertising, and we do not send survey answers, health-related selections, free-text survey responses, names, or email addresses to advertising analytics.
C. Information collected automatically
When you use the Website, our website, hosting, database, security, or analytics providers may automatically process:
- IP address;
- browser, device, and operating-system information;
- pages viewed, links or buttons used, and referring page;
- date, time, and approximate general location derived from an IP address;
- cookie, local-storage, session, or similar identifiers;
- form and survey completion events that do not include the substance of sensitive answers; and
- diagnostic, anti-fraud, error, and security logs.
We use only the technical information reasonably needed to operate, secure, improve, and understand use of the Website.
D. Information received from third parties
If you register, buy, book, or pay through a third-party provider, that provider may send us limited information needed to complete the transaction, such as your name, contact information, order or registration status, amount paid, and transaction identifier. We do not need or intend to receive your full payment-card number.
3. How we use information
We may use information to:
- operate, maintain, secure, and troubleshoot the Website;
- save and analyze survey responses;
- understand unmet support needs and design Write 2 Heal's community, resources, safeguards, services, merchandise, events, and communications;
- review survey results in aggregate and prepare internal research summaries;
- respond to questions, accessibility requests, service inquiries, partnership requests, and privacy requests;
- provide services, events, products, or community features you request;
- process registrations, orders, payments, shipping, refunds, or cancellations;
- send updates or marketing messages when you have opted in;
- maintain consent, unsubscribe, transaction, and business records;
- moderate community spaces, enforce rules, investigate misuse, and protect users;
- detect spam, fraud, abuse, security incidents, or illegal activity;
- comply with legal obligations and valid legal requests; and
- establish, exercise, or defend legal rights.
We may create aggregated or de-identified insights that are not reasonably intended to identify an individual. For example, we may report the percentage of respondents interested in guided writing prompts. We may retain and use those insights for research, planning, and reporting.
We will not use personal information for a materially different purpose without providing appropriate notice and, when required, obtaining consent.
4. When, how, and with whom information is disclosed
We do not sell personal information for money. We do not knowingly sell or share sensitive survey responses for cross-context behavioral advertising.
We may disclose limited information as follows:

We do not permit service providers to use personal information for their own unrelated purposes merely because they process it for us.
5. Cookies, local storage, and analytics
The Website may use cookies, local storage, or similar tools that are necessary for security, accessibility, navigation, form operation, survey progress, and user preferences. If optional analytics or marketing technologies are added, the Website should present any consent choices required by applicable law.
You can control many cookies through your browser. Blocking necessary technologies may prevent some Website features from working correctly.
Write 2 Heal does not use a survey answer or sensitive health-related selection to build an advertising profile. Any future use of advertising pixels or targeted-advertising tools must exclude survey pages, sensitive forms, and authenticated healing-community areas unless a qualified privacy review determines otherwise and appropriate consent is obtained.
6. Email and communication choices
Marketing and community-update consent is optional and is not a condition of completing the survey. If you opt in, you may unsubscribe through the link in an email or by contacting us. We may retain a minimal suppression record so we can honor your unsubscribe request.
Even if you opt out of marketing, we may still send non-promotional messages needed to respond to you, deliver a service, confirm a transaction, address security, or provide legally required notice.
7. Retention
We keep information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, security, accounting, or dispute-resolution needs.
Retention decisions consider:
- whether the information is needed to complete the survey research or provide a requested service;
- the sensitivity and amount of the information;
- whether you maintain an account or an ongoing relationship with us;
- legal, tax, accounting, insurance, or recordkeeping requirements;
- fraud-prevention, safety, and security needs; and
- whether information can instead be aggregated or de-identified.
Survey responses are intended to be retained only as long as needed to analyze and guide development of Write 2 Heal, after which they may be deleted, aggregated, or de-identified. Email opt-in records, service inquiries, merchandise-interest records, transactions, community content, and security logs may have different retention periods based on their purpose.
When information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it, subject to backups, legal holds, and technical limitations.
8. Security practices
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. The Website is designed to use safeguards such as:
- encrypted connections using HTTPS/TLS during transmission;
- role-based access and authenticated administrator access;
- database row-level security;
- public submission permissions that do not allow the public to read survey responses;
- separation of survey answers from optional email-list information;
- restricted database credentials and no secret database keys exposed in public client code;
- rate limiting and bot or spam protection;
- data minimization and limited analytics events;
- access controls for exports and administrative reports; and
- review and response procedures for suspected security incidents.
No website, transmission, or storage system can be guaranteed to be completely secure. You should avoid including unnecessary identifying or medical information in free-text fields. If we determine that a security incident requires notice, we will provide notice in accordance with applicable law.
9. Your privacy choices and rights
Depending on where you live and which laws apply, you may have the right to:
- know or access personal information we hold about you;
- request correction of inaccurate information;
- request deletion of information;
- receive a portable copy of certain information;
- opt out of certain targeted advertising, sales, or sharing;
- limit certain uses or disclosures of sensitive personal information;
- withdraw consent for future processing where consent is the basis;
- appeal a decision concerning a privacy request; and
- not receive unlawful discriminatory treatment for exercising a privacy right.
To make a request, either use our Privacy Request form or email info@thewrite2heal.com with the subject line Privacy Request. Tell us the nature of your request and the Website feature you used. We may need to verify your identity before fulfilling a request and may retain limited records of the request.
Because the survey does not request your name or email address, we may be unable to locate a particular survey response unless you provide the random response or session identifier associated with it. We will not collect extra identifying information merely to identify an otherwise non-directly-identifying response.
An authorized agent may submit a request where permitted by law. We may ask for proof of the agent's authority and, where appropriate, direct verification from the individual.
We will respond within the time required by applicable law. Some rights are subject to exceptions, and certain state privacy laws apply only when a business meets specific legal thresholds.
10. Adults only
The Website's survey and healing-community offerings are intended for adults age 18 and older. We do not knowingly collect personal information from anyone under 18 through these features. If you believe a person under 18 has submitted personal information, contact info@thewrite2heal.com so we can review and, when appropriate, delete it.
11. Community privacy
If community features are offered, you will be responsible for choosing the privacy setting and information included in your posts or profile. Write 2 Heal may prohibit screenshots or unauthorized sharing, but no online community can guarantee that another participant will follow every rule. Do not post information you would not want another participant to see.
Private journals or direct features will be handled according to their displayed settings, but authorized personnel or providers may access content when necessary to operate the feature, respond to a report, protect safety, investigate misuse, or comply with law.
12. Third-party links and services
The Website may link to 988, wellness resources, social-media pages, event pages, payment services, or other third-party resources. Following a link may allow the third party to collect information under its own policy. A link does not mean Write 2 Heal controls or is responsible for that party's privacy, security, content, or services.
13. Processing in the United States
Write 2 Heal is based in Pennsylvania, United States. Information may be processed and stored in the United States or other locations where our service providers operate. Privacy protections in those locations may differ from those in your place of residence.
14. Changes to this policy
We may update this Privacy Policy when the Website, our practices, or applicable requirements change. We will post the revised policy with a new "Last updated" date. If a change materially affects how previously collected sensitive information is used, we will provide additional notice or request consent when required.
